A trade fair gives everyone the same dates without giving everyone the same working day. Separate the stand team from visiting guests

For a team spread across hotels, decide whether one collection route makes sense or whether separate departures better match the morning. Share actual addresses rather than hotel brand names alone. Ask for a proposed departure plan that allows for boarding, the road journey, and the confirmed arrival procedure.
Nominate a contact at each hotel and tell passengers where to meet. “In the lobby” may still need clarification when a group is split between reception, breakfast, and an outside entrance. Keep the message short enough to use on a phone: date, meeting place, departure instruction, destination, and contact. Update the same message when a detail changes so yesterday’s plan does not remain the easiest one to find.
Match vehicle size to the movement

Reserve time when the itinerary needs it

Confirm whether the arrangement includes vehicle retention, waiting, additional journeys, and the requested end time.
