A Corporate Roadshow in Budapest: The Quote Your Team Needs

A visiting director, a delegation arriving on several flights, three offices and an evening reception. The transport request needs to account for the whole program—and the people arranging it.

At VanBudapest.com, our corporate transport service connects airport arrivals, executive movements and group travel, with a dedicated event coordinator. Tell us what the business day has to achieve; we can prepare the vehicle and chauffeur plan around it.

01 / The assignment

Choose the service for each part of the day

An airport arrival and a six-stop meeting schedule make different demands. A useful proposal identifies where you need a single journey, where a chauffeur should remain available, and where colleagues need to travel as a group.

Program requirementService to requestDetail that shapes the quote
Arrival or departurePrivate airport transferFlight, passengers, luggage and next destination
Several meetings with uncertain finish timesDedicated chauffeur and vehicle by the hourFirst pickup, final release and all planned stops
Colleagues moving between hotels and a venueCoordinated group transfers or shuttle movementsPassenger numbers, departure waves and vehicle mix

These can sit within one corporate request. For example, the principal might need a sedan throughout the day while the wider team needs a morning minibus and an evening return. Tell us about that split before we quote: one vehicle cannot cover simultaneous movements.

For route planning, entrance details and a sample business-day schedule, see our operational roadshow guide.

02 / The traveling party

Match the cabin to the people

Our Mercedes-Benz fleet gives you a choice of executive sedans, vans and larger vehicles. Start with who travels together, then confirm luggage and the required layout.

  • E-Class · up to 3 passengers. A practical sedan choice for an executive, advisor or compact party.
  • S-Class · up to 3 passengers. For a principal who places particular value on the rear-cabin experience.
  • V-Class · up to 7 passengers. For a small delegation that wants to arrive and leave together.
  • Standard Sprinter · up to 20 passengers. An option for a larger team traveling on the same schedule.

Published passenger capacities are maxima. The vehicle class, luggage allowance and seating arrangement need to work together in the accepted proposal.

03 / The commercial detail

Make reserved time clear before approval

Official hourly minimum

3 + 1

Three service hours
plus one garage hour

Read the current hourly conditions

During an hourly assignment, time spent waiting between meetings is part of the booked service window. The clock continues while your team is inside. Parking is excluded from the hourly rate and paid on site.

The published hourly tariff applies within Budapest. A factory visit outside the city, multiple vehicles or a longer program should be priced against the actual itinerary. Additional time depends on availability; include an evening dinner or reception in the initial request if it is already planned.

For internal approval, ask the proposal to identify the vehicle category, service window, garage time, inclusions, separately payable items and how changes affect the price. Share any purchase-order reference or invoice requirements at this stage.

04 / The people arranging it

One request, with the right contacts attached

We work with companies, agencies and destination management companies. If you are booking on a client’s behalf, identify the person making the booking, the lead traveler and the contact who can approve changes on the day. Add the company billing details separately.

Discretion starts with practical instructions: agree the wording for a greeting sign, tell us who should receive journey updates, and keep meeting subjects out of passenger-facing materials when they are unnecessary.

A meeting that runs over may affect the next pickup, the vehicle’s release time and another group’s movement. Naming the decision contact in advance helps us coordinate a workable revision. Waiting locations and pickup arrangements must also respect the venue’s access rules.

05 / Ready to send

Your corporate roadshow quote brief

You can start with a provisional agenda. Mark open questions so we can distinguish what is fixed from what still needs a decision.

  1. Program: dates, purpose, first pickup and expected final release.
  2. Passengers: numbers by movement, flight details, luggage and vehicle preferences.
  3. Route: hotels, offices, venues and any destination outside Budapest.
  4. Service mix: airport transfers, reserved chauffeur hours, group movements and evening returns.
  5. Contacts and billing: booker, traveler lead, authorized change contact, company details and requested invoice references.

Send us the agenda you have. We will use it to prepare a corporate transport proposal for your Budapest visit.

Request a corporate proposal

Before your company books

Can an agency arrange transport for its client?

Yes. Our corporate service supports agencies and DMCs. Include the booking contact, passenger lead and company billing requirements so the proposal can reflect the arrangement.

Can we combine airport transfers and an entire business day?

Yes. Send the flight information and daily program together. We can propose the airport journeys, reserved chauffeur hours and any separate group movements within the requested scope.

Does submitting the request confirm a vehicle?

A quote request begins the planning process. Review the offer and complete the booking confirmation before treating the vehicle and service window as reserved.
