It places the welcome note and opening plenary from 6:00 to 7:00 p.m. and the reception from 7:00 to 9:00 p.m. This guide follows that document. The organizer reserves the right to change the program, so recheck the official PDF before leaving.
Build a personal program, not a copied full agenda
ISIC spans plenary lectures, keynote and oral presentations, posters, parallel rooms, breaks, committee activity, and social programs. The organizer’s live program is the right place for the full scientific detail.
For each delegate, record the session or activity, date, start time, required ready time, exact room or offsite meeting point, attendance or invitation status, and the next hard deadline. Add any Slide Check, poster-mounting, or host-contact requirement.
A room change inside Hotel Helia may need no vehicle. An airport arrival, hosted dinner, walking-tour start, wine-tasting venue, or boat event is a different operation. Separating those cases prevents unnecessary transfers and missed deadlines.
Late registration: what the organizer currently lists
The standard registration period has ended. As checked on September 4, the organizer lists the following late rates from August 16:

The organizer states that eligible fees include scientific sessions, documentation, coffee breaks from September 6–9, lunches from September 7–9, the welcome reception, walking tour, and conference dinner, with 27% VAT included. Social programs required preregistration, however: inclusion in a fee does not prove that a new or onsite registrant now has a place.
Registration after August 16 is described as possible with card payment at booking; onsite payment is listed in euros or Hungarian forints in cash or by credit card. Availability and acceptance remain live organizer decisions. Cancellations on or after August 1 are not refundable under the published policy, although a substitute may be accepted through the secretariat.
Access and transportation are different confirmations
A private driver cannot register a delegate, change a category, reserve a social program, or grant scientific-session access. Check the current registration module on the official symposium site before traveling or paying.
Presenter checklist: slides, equipment, and timing
The organizer allocates 40 minutes plus 5 minutes for questions to plenary presentations. Keynote and oral presentations receive 15 minutes plus 5 minutes for questions. A session chair or newer instruction always takes precedence.
Prepare a 16:9 PowerPoint file, bring it on a USB drive, and upload and test it at the Slide Check Desk in the morning or, at the latest, during the break before the session. Presenting from a personal laptop is not the planned setup. Rooms are listed with a microphone, projector, remote control, computer, and technical assistance.
The organizer recommends screenshots instead of depending on live webpages. In the transport brief, include the hotel arrival target, registration or host check-in, Slide Check deadline, room, session start, and the person authorized to approve a change.
Poster presenters have two different operating windows
Posters must be A0 portrait format, 841 × 1189 millimeters. The two poster sessions do not share the same mounting and removal deadlines.

Pack the poster so it can be handled without damage. Do not assume every sedan trunk will fit a rigid tube, exhibition case, samples, and all passenger luggage. Give the transport team exact dimensions and quantities. Printing, mounting materials, scientific acceptance, and board assignment remain separate from transportation.
Danubius Hotel Helia: venue and arrival orientation
Danubius Hotel Helia is at 1133 Budapest, Kárpát utca 62–64, on the Danube side of District XIII. The hotel lists check-in from 3:00 p.m. and checkout by 11:00 a.m. Individual booking terms can differ; this guide does not imply conference-rate availability or a room reservation.
The hotel identifies the M3 metro at Dózsa György út as roughly 650 meters, or an eight-minute walk, and the Dráva utca stop for buses 15 and 115 as roughly 230 meters, or a three-minute walk. These are orientation estimates, not a guarantee of step-free access, frequency, or a specific route.

Airport arrivals work best as managed waves
For an individual transfer, provide the airport, flight number, origin, scheduled landing, passenger contact, checked bags, special equipment, hotel, and first hard conference deadline.
For several flights, form arrival waves only after checking updated landing times and terminals. Immigration, baggage delivery, delayed luggage, and separate terminals can mean passengers on related bookings are not ready together.
The VanBudapest operating team must confirm availability, vehicle, meeting point, waiting arrangement, route, and price. This article does not promise a fixed airport journey time, hotel curb, or event access.

Offsite social activities need their own confirmations
The final program includes offsite activity on Monday and Tuesday, but the published preregistration deadlines have passed. Treat these times only as planning information for delegates who already have organizer confirmation:
Monday walk
The city-center walking tour is scheduled for 6:30–8:30 p.m., beginning at City Hall Park.
Monday tasting
The optional wine tasting is listed for 8:30–10:00 p.m. at Domus Vinorum, Bajcsy-Zsilinszky út 18.
Tuesday cruise
The conference dinner cruise is scheduled for 7:00–11:00 p.m. on the Európa Boat.
Verify the tour finish, wine-tasting attendance, boat meeting point, boarding time, and return instruction with the organizer or host. A place in a vehicle does not create a place at an event, and a social-program reservation does not automatically include private transportation.
Match the vehicle to people, luggage, and working style
The current VanBudapest fleet lists maximum passenger capacities. Practical fit may be lower with full-size suitcases, poster tubes, exhibition materials, mobility aids, or technical cases.

Maximum seats are not a loading recommendation. Send exact people and cargo counts, including unusually long or fragile items, so the operating team can assess the vehicle.
Give one coordinator control of multi-day changes
ISIC combines a hotel-based program with flights, individual presenter deadlines, offsite events, hotel check-in and checkout, and different departure times. Keep one current master manifest with a clear version history.
For every movement, record the vehicle-ready time, passenger-ready time, pickup, destination, hard deadline, passenger list, baggage/equipment, onsite contact, and fallback contact. Identify one person who can approve changes; drivers should not have to reconcile conflicting curbside instructions.
Keep flight and mobile data inside the private booking workflow. A public article, group-wide post, or lobby board is not the right place for a full personal manifest.
Wednesday departures: protect the conference ending
The final program schedules scientific sessions through 12:50 p.m., closing from 12:50 to 1:10 p.m., and lunch afterward. The hotel lists checkout at 11:00 a.m., so a departing delegate may need confirmed luggage storage before the final session.
Do not treat 1:10 p.m. as an automatic airport departure. Add lunch, farewells, luggage collection, loading, traffic margin, airport process, and airline deadline. If guests leave on different flights, separate waves may be more reliable than forcing everyone onto the earliest traveler’s schedule.
